When off-the-shelf software is the right answer

A standard product can be a good choice when the company has common workflows, can use the built-in roles and forms, needs a fast launch, and accepts the vendor’s pricing and roadmap.

When custom configuration becomes valuable

Custom configuration makes sense when the company has several service divisions, unique paperwork, special approval rules, long-term contract tracking, custom payroll preparation, or a need to connect the website with internal operations.

Compare total operational cost

Monthly subscription price is only one cost. Include repeated data entry, unused features, manual workarounds, employee confusion, missed information, integration fees, and the time required to make the product fit.

Choose the smallest useful first release

A strong custom project does not need to build everything on day one. Start with the workflow that creates the most delay or lost information, test it with real users, and add modules after the core process is stable.
