Contractor Software Implementation Checklist

A clean launch depends on good data, clear roles, realistic testing, and a simple first-week plan.

Prepare the company data

  • Customer names, phone numbers, emails, and service addresses
  • Employees, roles, emails, and employment status
  • Active jobs and schedules
  • Common services, tasks, rates, and form fields
  • Documents that belong in the company system

Define access by role

Write down exactly what an owner, administrator, foreman, and employee should be able to view and change. Do not rely only on hiding a navigation tab; database and storage rules should support the same restrictions.

Test real workflows

Use realistic test customers and clearly labeled test records. Complete a full path: add a customer, schedule work, assign a job, record time, submit a report, review hours, create a bid or invoice, and verify the final record.

Launch in stages

Start with a small group, fix confusing labels and missing steps, then add the remaining users. Keep the old process available briefly as a backup, but set a clear date for the new system to become the source of truth.

Review after the first week

Check incomplete time entries, missing job reports, duplicate customer records, permission problems, mobile issues, and questions users keep asking. Those patterns show where the app or training needs improvement.
